Travel Safety Information & Guidelines
Please review the following safety information and resources carefully.
Voluntary Participation and Risk Acknowledgment
I am voluntarily participating in the OFA Symposium 2025 in Rio de Janeiro, Brazil, November 18-19, 2025, with full understanding of the risks involved in international travel and conference attendance. I assume and agree to accept any and all risks to my safety, health, security, and property during the course of participating in the event and travel relating to it.
Participation in the Event is undertaken in a professional and non-consumer capacity.
Visa Information
It is your sole responsibility to ensure you have proper travel documentation, including valid passport and appropriate visa. If you require an invite letter for the event for the purposes of your visa application, please contact Nicholas Gates at nicholas@openforumeurope.org.
Safety in Rio de Janeiro
OpenForum Europe is committed to attendee safety and recommends that all participants take reasonable precautions when traveling to and during the event. Before you travel, you should:
- Review current travel advisories for Brazil from your country’s government.
- Ensure you have comprehensive travel and health insurance.
- Register with your embassy or consulate upon arrival if recommended.
- Share your itinerary with family or colleagues.
Venue Location
The Symposium will be held at FGV Rio Law School in the Botafogo neighborhood, a well-monitored area of Rio de Janeiro:

Botafogo is a central, accessible neighborhood with good infrastructure, and the venue has security measures in place during event hours.
Safety Recommendations
General Safety
- Be aware of your surroundings at all times, especially when outside the venue.
- Use official transportation – registered taxis or reputable ride-sharing services (Uber, 99).
- Avoid displaying valuable items openly (jewelry, expensive cameras, electronics).
- Keep copies of important documents (passport, visa, insurance) separate from originals.
- Travel in groups when possible, especially at night.
- Stay in well-lit, populated areas and avoid isolated locations.
- Do not resist if confronted during a robbery attempt.
- Consider using official ride-sharing apps rather than hailing taxis on the street.
When Visiting the Venue
- Know where you are; the venue name, street address or cross street.
- Take a moment to identify at least two exit routes from any building or event and emergency exit signs.
- If an alarm sounds, evacuate immediately. Follow directions from First Responders and venue staff.
- Do not carry any unnecessary valuables with you, or leave personal items unattended.
- Do not leave drinks unattended, or accept open drinks or food products from strangers.
Emergency Evacuations
- In the event of an emergency evacuation, make your way quickly and calmly to an emergency exit. Be aware of any hazards or dangers around you and proceed to a safe area.
- Follow the advice of venue staff, security personnel and First Responders.
- Do not put yourself in danger by stopping to collect belongings unless directed by First Responders.
Allergies
OpenForum Europe believes it’s essential to prioritize the safety and well-being of all attendees, including those with food allergies. We aim to provide a variety of choices to cater to various needs such as vegetarian, vegan, gluten-free, dairy-free, and peanut-free.
All food items will be clearly labeled at the event, indicating the ingredients used and any potential allergens present. If you have a food allergy we need to be aware of, please email Nicholas Gates at nicholas@openforumeurope.org.
Transportation
Participants are responsible for their own transportation costs. The venue is accessible by metro (Botafogo station) and bus, though we recommend ride-sharing, where possible, for safety

- Know your blood type.
- Verify your health insurance covers international travel.
